KIPP Jacksonville Increases Staff Productivity and Family Satisfaction with PowerSchool Registration’s Application and Lottery

KIPP Jacksonville operates two elementary schools and one middle school, serving over 900 students in the Jacksonville area in Florida. Receiving over 2,000 applications each year, KIPP accepts students via a lottery system. Part of KIPP’s national charter school network, KIPP Jacksonville is dedicated to preparing students in the city’s educationally underserved communities for success in college and in life.

Overview

Every year, KIPP Jacksonville Schools in Jacksonville, Florida, aim to provide their school community with innovative tools to attain success. Their benchmark for achieving success starts with effective communication between families and school staff. Partnering with PowerSchool to implement an online application and registration solution helps KIPP Jacksonville Schools accomplish that goal.

The Challenge

Thousands of applications are submitted to KIPP Jacksonville Schools each school year. “We were managing too much paperwork which didn’t increase efficiency or provide us with the opportunity to cultivate strong relationships with our prospective and current families,” notes Kimberlee Logan, Student Services Manager at KIPP Jacksonville Schools.

An Online Solution with Powerful Results

Administrative staff increased communication efforts by leveraging PowerSchool Registration’s online application solution during recruitment. Families were informed via email and by phone that the application form was online. “First impressions are integral to facilitating effective communication with prospective and current families and that’s what [PowerSchool Registration] gives us—an impressive first impression. Prior to PowerSchool Registration, from the time the first application was received to registering the last student for school, the process would take up to six months for staff to complete.
A dedicated team of PowerSchool Registration solution specialists worked with KIPP Jacksonville Schools to customize a solution that streamlines the school’s application and registration process.
Previously, Logan and her colleague, Catherine Herman, couldn’t access student data in an efficient manner because they weren’t receiving all of the required information before the first day of school. Some families would note that their child takes medication but didn’t provide specific details, such as the name of the medication or dosage instructions.

“It became imperative to implement an electronic solution that requires parents to fill in certain fields during registration prior to submission. [PowerSchool Registration] provides us with that level of intuitive functionality,” said Catherine Herman, Student Services Manager at KIPP Jacksonville Schools.

KIPP Jacksonville Schools request information from families for emergency contacts, student transportation requirements, student medical history, IEPs, signatures for policies, and more. “We were easily distributing and collecting 6-12 forms per student, but the smart logic built in [PowerSchool Registration’s] online enrollment solution captures relevant data from our families based on previously entered information or choices. This eliminates parents receiving information that isn’t pertinent to them,” notes Herman.

Families with multiple children attending the school are also able to ‘snap’ data from one student to another. KIPP Jacksonville Schools’ solution provides them with the most up-to-date and accurate data by the first day of school. The transition from a paper-based process to an online solution was well received by the school community. Families value the simplicity of providing student data to KIPP Jacksonville Schools.
